Library

Libraries

A library is the top of the tree, shared with the workspace or Personal to its creator.

Requires: a curator or an admin to create one. On a library that is not the default, Set Default and Archive library are admin-only, off with a reason for a curator; Archive library appears only where the workspace has more than one library.

  1. Open /w/<workspace>/settings/libraries.
  2. Press Create library.
  3. In the dialog, type a Name, leave Shared with the workspace checked or clear it for a Personal library, then press Create library.

Shared and Personal

A Personal library, its collections and its snippets are readable only by its creator, and its row in the tree carries the Personal marker.

On a Personal library's row in /w/<workspace>/settings/libraries, its creator can press Make shared to open the library, its collections and its snippets to the workspace. When a Personal library's creator is no longer a workspace member, a workspace admin sees it under Departed members’ personal libraries and can press Make shared.

On a non-default Shared library, its creator or a workspace admin can press Make personal. The switch is refused when snippets in the library sit in shared documents or templates, in your own unshared documents, in a colleague's unshared documents, or when the library holds snippets created by a colleague; the dialog lists those blockers by count and colleague name without revealing a colleague's unshared document titles.

Archiving a library

Archive library removes the library from /w/<workspace>/settings/libraries and the library tree, and excludes its snippets from library search and Live Answers. Snippets from the library that were already placed in a document stay in that document.

Where a Personal snippet can go

A snippet from a Personal library may sit only in its creator's unshared documents and templates; the database refuses it in any other document or template, and the product reports Snippets in a Personal library can only go in your own unshared documents. Move the snippet to a shared library to use it here.

A document or template holding one cannot be shared either.

A Personal library cannot be the default: for an admin, Set Default on its row is off, reading A Personal library cannot be the default. The default library is shared with the workspace.

A file upload with no collection named lands in the library carrying the Default badge.
